Providing excellent customer service is one of our top priorities, especially when customers are experiencing issues that impact on their business operations. One of the most common questions we receive is why we cannot always provide an exact estimated time of arrival (ETA) for our technicians. While we understand that customers would like a precise arrival time, the nature of service work and emergency calls makes that difficult in many situations.
Our scheduling system is organized into two appointment windows: 8:00 AM to 12:00 PM and 1:00 PM to 5:00 PM. These timeframes allow us to efficiently schedule service calls while accounting for variables that may arise throughout the day. Every service call is different, and the amount of time required to complete a job can vary significantly depending on the issue, the equipment involved, and any unexpected complications that may be discovered during the visit. Because of this, technicians may not always finish a job exactly when anticipated, making it challenging to provide a precise ETA for the next customer.
In addition to our scheduled appointments, we also accept same-day emergency service calls. Emergency situations take priority because they often involve issues that prevent a business from operating normally. When a customer’s business is unable to function due to equipment failure or another urgent problem, we understand the importance of resolving the issue as quickly as possible. For this reason, emergency service requests may need to be inserted into the schedule ahead of non-emergency appointments.
Even with emergency calls, providing an exact ETA can be difficult. By the time an emergency request is received, our technicians are often already on-site performing scheduled work. The technician must first complete their current assignment before heading to the emergency location. Since we cannot always predict how long an existing job will take, it becomes nearly impossible to give an exact arrival time for the emergency service. Instead, our goal is to dispatch the next available technician as quickly as possible.
When we are unable to provide a definite ETA, we communicate this honestly with our customers. Rather than giving an inaccurate time, we let customers know that the next available technician will be assigned to their call. Once the technician is on the way, they will contact the customer directly and provide the most accurate ETA possible based on their current location and travel time. This approach ensures that customers receive reliable information rather than estimates that may change.
There are certainly times when we can provide a more precise ETA. If technician schedules are clear and job progress is predictable, we will gladly share a more specific timeframe. However, there are circumstances beyond our control that make exact scheduling difficult. In those cases, our commitment remains the same: respond as quickly as possible while keeping customers informed throughout the process.
Ultimately, we value every customer and strive to deliver exceptional service. Our priority is to ensure that businesses remain operational, especially during emergencies. While we cannot always provide an exact ETA, customers can be confident that their service request is important to us, and we will dispatch the next available technician as quickly and efficiently as possible.
